Service providers user roles
OmaVaana has three different user roles for service provider users:
Service Provider Manager
Venue Manager
Venue Accountant
User roles are always defined account specifically: for the main account or venue's own account, called as sub-account. User role defines what user can see and what actions user can perform in the account.
One person can have several user roles in order for wider user rights. One user can also have several user roles for several accounts, for example, for the same company’s venues in different municipalities.
Every user uses OmaVaana with their private credentials, which is the user's email address. This way user actions can be identified, which is necessary in order to ensure safe use of our product.
Every user only sees only those accounts in OmaVaana, which they have rights to and every account has only those activities that their role enables them to perform.
Service Provider Manager
Every service provider will be designated at least one person as the Service Provider Manager. Every company might have several Service Provider Managers.
First Service Provider Manager role will be created, when company is registered to OmaVaana for the first time. Later Service Provider Manager roles can be added to the system, when an already existed Service Provider Manager makes a request to Vaana's customer service (asiakaspalvelu@vaana.fi).
Service Provider Manager is an administrative role, and usually in bigger companies, Service Provider Managers do not take part in the daily service voucher tasks.
Venues settlement statements that Vaana has paid to venues will be sent to Service Provider Managers and to Venue Accountants, if necessary, by email.
In OmaVaana, contract manager can
Register company information to Vaana’s web service,
Add venues to a company,
Edit venue information,
Add and delete venue administrators, and
Edit venue price lists (municipality has to approve changes).
Venue Manager
Every service provider venue will be designated at least one person as the Venue Manager. However, venue can have several Venue Managers. Service Provider Managers can add and delete Venue Managers in OmaVaana.
Venue Manager is the person who takes part in the daily service voucher activities, i.e. a person who charges the service vouchers and follows monitoring data.
Venue Manager and Service Provider Manager can be the same person.
In OmaVaana, venue administrator can
View the service voucher information,
Charge service vouchers,
See monitoring data, and
Edit venue information.
Venue Accountant
Venue Accountant role differs from the other user roles in OmaVaana, because it cannot be used to log into OmaVaana, and therefore, it is not really a user role.
Venue Accountant is the person who receives the settlement statements by email, i.e. information about the payments that Vaana has paid to the service provider. Settlement statements are also always sent to Service Provider Manager.
Venue Accountant can be an employee of the venue, or, for example, an accounting business used by the service provider.
Service Provider Manager can add new Venue Accountants by informing their email to Vaana’s customer service (asiakaspalvelu@vaana.fi). To add a new Venue Accountant, you have to send the first and last name, email address and phone number to Vaana’s customer service.
In OmaVaana, Venue Accountant can
Receive emails about settlement statements.
